Registration Information

To minimize effort for providers and staff, DSHS moved existing provider records from the old Medicaid payment system to ProviderOne.

Providers using HIPAA batch transactions must complete all registration activities before ProviderOne goes live to be payable.

Providers will complete registration using a "wizard" which guides you through the screens necessary for your enrollment type and billing method.

  Prepare for Registration

Step 1

Security Administrator obtains log on and password

WHO:  Your staff you designate as your ProviderOne Security Administrator.  This person will set up additional staff access to ProviderOne and manage their access to ProviderOne for your organization.  Visit the page below for a security checklist to guide you through obtaining security credentials and setting up users in ProviderOne.

Step 2

Learn how to complete registration in ProviderOne

DSHS periodically schedules training webinars for providers. Dates and time will be posted on the Training page when available. During webinars, DSHS explains "how to" while providers view the actions taken and have an opportunity to ask questions.

These resources are available to assist you:

Step 5

Obtain ProviderOne log on and password

  • Obtain your log on and password information from your Security Administrator.

Step 6

Register in ProviderOne

  • Register your Group.  You should focus first on the information associated at the organization level that could affect our ability to pay you.

  • Register servicing providers.  Once you have completed registration for the organization, you should complete registration for performing providers associated with your business.  You will eventually need to complete registration for all of your performing providers.

  • Don't forget to select the "submit" button once you've completed registration!  Once you select submit, DSHS will be prompted to review your registration and any changes you may have made to your provider file.

Step 7

Mail signed Trading Partner Agreement to DSHS

  • Mail to:

    DSHS Provider Enrollment

    PO Box 45562

    Olympia, WA  98504-5562

Once DSHS receives your Trading Partner Agreement and approves your registration, your new ProviderOne ID number will be mailed to you.  This letter will also instruct you to begin HIPAA batch file format testing.

Step 8

Test each HIPAA transaction type you plan to directly use in ProviderOne. Follow instructions in the Companion Guides to test and make sure your system will be able to submit HIPAA compliant transactions to ProviderOne when it goes live.

Step 9

Ensure your partner organizations are ready. Check in with any 3rd party business you rely on for transactions with DSHS.  Are they ready for ProviderOne?  This may include software vendors or a billing agent or clearinghouse that submits transactions on your behalf.
